Users & Permissions

The Users & Permissions section lets you control who can access your Shoptsy store and what actions they are allowed to perform. This helps you securely collaborate with staff while keeping sensitive settings protected.


Store Owner

The Store Owner is the primary account holder of the store.

Key points

  • Has full access to all store features
  • Certain critical permissions cannot be assigned to staff
  • Only one store owner exists per store
  • Can manage:
  • Users & permissions
  • Billing and payments
  • Core store settings
  • Integrations and domains

The store owner’s profile shows the last login time for account visibility and security tracking.


Permissions Overview

Permissions define what users can see and do in your store.
They are assigned through Groups and applied to Staff members.

Permissions help you:

  • Limit access to sensitive data
  • Assign role-based responsibilities
  • Maintain operational security

Groups

Groups are permission templates that make it easy to manage access for multiple users.

What you can do

  • Create groups based on roles (e.g. Admin, Manager, Support, Marketing)
  • Assign specific permissions to each group
  • Add multiple staff members to a group

Why use groups

  • Easier permission management at scale
  • Consistent access control across team members
  • Faster onboarding for new staff

Example groups

  • Admin – Full operational access (excluding owner-only actions)
  • Order Manager – Orders, shipping, refunds
  • Catalog Manager – Products, inventory, collections
  • Marketing – Discounts, promotions, analytics

Staff

Staff members are users invited to help manage your store.

What you can do

  • Invite staff via email
  • Assign one or more permission groups
  • Control exactly what each staff member can access
  • Remove or update staff permissions at any time

Typical staff access

  • Orders and fulfillment
  • Product and inventory management
  • Customer support
  • Analytics and reports (if allowed)

Staff members cannot access owner-only settings such as billing, payments, or store ownership actions.


Best Practices

  • Use Groups instead of assigning permissions individually
  • Follow the principle of least access (give only what’s needed)
  • Regularly review staff access and remove inactive users
  • Keep billing and payment access restricted to the store owner

Security Notes

  • All user actions follow assigned permissions strictly
  • Changes to permissions take effect immediately
  • Store owner access cannot be downgraded or transferred without proper ownership change (if supported)
